Summary

The Real Estate Admin is responsible for relieving management of administrative details for all commercial real estate projects. Regularly scheduling appointments, preparing and filing documentation and correspondence, answering phones, communicating with contractors, and facilitation of project management.

Essential Functions

  • Database management and data entry

  • Keep all files organized and up-to-date

  • Set appointments and maintain business calendar for department staff

  • Book travel arrangements for management

  • Diligent and accurate note taking for all department meetings and conference calls

  • Operate with high level of discretion and confidentiality

  • Assist with commercial real estate research

  • Perform general clerical duties including scanning, photocopying, binding and mailing

  • Greet clients and visitors with professional upbeat demeanor as they arrive

  • Professionally administer incoming calls; ensure phone calls are redirected accordingly

  • Communicate and follow up with contractors

  • Assist with facilitation of project management

     

Other Functions

  • Participate in seminars and training programs that may require travel and overnight stay.
  • Assist with errands as needed.
  • Assist with other duties assigned and directed by corporate management within the frame work of Murfin Drilling Company, Inc’s. objectives.

 

Knowledge/Skills/Abilities

  • Intermediate knowledge of Microsoft Office, including Excel, Word, and Outlook.
  • Strong knowledge of office machines, including copier, fax and printer.
  • Able to communicate effectively as appropriate for the needs of coworkers.
  • Able to drive company or personal vehicle for seminars, trainings and errands.
  • Ability to meet commitments and deadlines.

  • Able to process work with accuracy.

  • Ability to organized and prioritize numerous tasks and complete them under time constraints.

  • Complete required documentation and reports in a timely manner.

Physical Requirements

Employee must be able to do occasional lifting of up to 30 lbs.  Employee must be able to sit for an extensive amount of time.  Employee must be able to stoop, bend and/or twist to perform job tasks and regularly retrieve and replace objects from shelves of three to six feet high.

 

Education/Work Experience

High school diploma or GED required.  Four-year degree from a college/university or at least three years related commercial real estate experience and/or training preferred.
