The Administrative Assistant is responsible for maintaining D.O.T. and other required documentation and inspection schedules, notifying employees of required inspections, managing accounts receivable and accounts payable, preparing monthly account reports, resolving account discrepancies, preparing bank deposits, filing accounting documents and performing other administrative department duties as directed by Management.


Essential Functions


  • Administrative – Maintain D.O.T. and other required documentation and inspection schedules.  Notify employees of required inspections.  Assist with answering phones as needed.  Sort, distribute and send mail.  Coordinate with Corporate Human Resource Department for all employment documentation requirements.
  • Accounting – Manage accounts receivable and accounts payable for all services at location.  Prepare monthly accounts receivable and accounts payable statements.  Post account receipts.  Research and resolve account discrepancies.  Prepare bank deposits.  File accounting documents.


Other Functions


  • Participate in seminars and training programs that may require travel and overnight stay.
  • Assist with errands as needed.
  • Assist with other duties assigned and directed by corporate management within the frame work of Hurricane Services, Inc.’s objectives.




  • Strong knowledge of D.O.T. record keeping requirements.
  • Strong knowledge of Microsoft Office and Internet.
  • Strong knowledge of office machines, including copier, fax and printer.
  • Able to communicate effectively as appropriate for the needs of coworkers.
  • Able to drive company or personal vehicle for seminars, trainings and errands.
  • Ability to meet commitments and deadlines.
  • Able to process work with accuracy.
  • Ability to organized and prioritize numerous tasks and complete them under time constraints.
  • Stays focused under pressure.
  • Complete required documentation and reports in a timely manner.
  • Able to drive company vehicles with standard operator’s license.

Physical Requirements

Employee must be able to do occasional lifting of up to 30 lbs.  Employee must be able to stand for an extensive amount of time.  Employee must be able to stoop, bend and/or twist to perform job tasks and regularly retrieve and replace objects from shelves of three to six feet high.


Education/Work Experience

High school diploma or GED required.  Two year degree from a college or school or at least three years related experience and/or training preferred.
