Title:              Office Manager

Reports To:   Owner

Department:  Office Staff

Status:           Non-Exempt

Date Evaluated:         May 2018  

 

Summary

Provide direct support to the owner and oversee general office duties.

 

Essential Functions

  • Accounts Payable and Receivable Processing: Generate checks, make prompt payments, and reconcile discrepancies.
  • Communicate with Sales Manager to create invoices and compile information for financial documents. 
  • Process payroll, including vacation records.
  • Greet and assist customers.
  • Data entry, answer phones, filing, bank deposits, reconcile bank accounts, process credit card statements, maintain mailing lists.

Other Functions

  • Provide miscellaneous reports and support to management as needed.
  • Light cleaning and restocking of office supplies.
  • Other tasks as assigned.

Knowledge, Skills, Abilities

  • Intermediate knowledge of Microsoft Office, especially in Excel.
  • Basic knowledge of accounting procedures; ability/willingness to learn specialized accounting software.
  • Basic knowledge of payroll procedures and requirements.
  • Basic knowledge of office machines, including copier, fax and printer.
  • Analytical and problem-solving abilities.
  • Able to process work with accuracy and with strong attention to detail.
  • Able to work effectively in a team environment and independently.
  • Able to organize and prioritize tasks; completes required documentation and reports in a timely manner.
  • Ability to maintain confidentiality and process confidential information discreetly.
  • Interpersonal skills are necessary in order to communicate and follow instructions effectively, and to provide information to coworkers and customers with ordinary courtesy and tact.
  • Demonstrate openness to new procedures, technology and structure.
  • A positive attitude and creative/forward thinking with high ethical standards and an appropriate professional image.

Education

High school diploma or equivalent required.  Associates degree or some college preferred.

Work Experience

Requires some previous work-related skills, knowledge or experience. 

Other

Must be able to pass a background check. Preferred work hours are Tuesday-Saturday, 9:00 am – 6:00 pm. Flexible days/hours possible.
